    Okay, so what's the difference between using the Insert menu and the Paste Special command in PP?

    One difference is that Paste Special requires the clipboard, so you would have to open the file in one program in order to copy it. Insert Picture does not, and also allows the picture to be linked, rather than embedded.

    The linking abilities of PowerPoint are severely cripled, in my experience. There's no collect feature, relinking, or information on linked files. If a file moves or is renamed there's no warning, just an empty space where the picture should be. And the Link to button is available only from a skinny little menu next to the Insert button. Hardy intuitive.

    Ah so! This is good to know. I hadn't even thought about embedded vs. linked.

    The first step in learning is to admit one's ignorance!

    Fortunately, in what we want to do with these inserted files, we don't have to rely on linking back to the original file. We'd prefer not to, actually!

    Yeesh, you guys are funny. Too bad I didn't get in on this post earlier, because I had been doing that technique for a few years, and actually worked for the same industry (pharmacuetical). Now kiss and make up before this spills over into another forum.
